Accrual Dashboard

 

OVERVIEW

  • Shows current and projected accrual for individual studies in OnCore. The projected accrual is based on the moving average of the last 3 months.

  • Display accrual data for each protocol

COMPONENTS

The dashboard contains the following components/sections

  1. Filters

  2. Statistics

  3. Accrual Status Table

  4. Accrual Status Chart

  5. Messages

 

Filters

  • Filters in the form of dropdowns are provided to select any particular research protocol.

  • Each filter represents a specific cohort - Department, Primary Investigator, Study Coordinator, IRB Number

  • On clicking the arrow button all the options are displayed

  • On clicking the dropdown, the user can type to search for any option in dropdown & based on the input text, options will be displayed

  • Rest of the components are updated once an option is selected from the dropdowns.

  • Default option for Department, PI & SC is “All”. This ensures IRB Number dropdown contains all

  • Default option for IRB Number is the first protocol in the list

  • Department:

    • Displays list of all departments. Ex- Cancer Center.

    • For each department, there is a set of IRB Numbers that belong to that department. Once a department is selected, IRB number dropdown is updated with the corresponding set of protocols and the remaining dropdowns are reset to default option “All”.

  • Primary Investigator (PI):

    • Displays list of all Primary Investigators. Ex - Dr Linda Sher

    • For each PI, there is a set of IRB Numbers that belong to that PI. Once a PI is selected, IRB number dropdown is updated with the corresponding set of protocols and the remaining dropdowns are reset to default option “All”.

  • Study Coordinator (SC):

    • Displays list of all Study Coordinators.

    • For each SC, there is a set of IRB Numbers that belong to that SC. Once an SC is selected, IRB number dropdown is updated with the corresponding set of protocols and the remaining dropdowns are reset to default option “All”.

Statistics

  • In this section, 4 cards are displayed each representing the accrual count or the average accrual per month

  • Expected Enrollment by Now: total target accrual to date from start date

  • Actual Enrollment by Now: total actual accrual to date from start date

  • Expected Enrollment per month: average target accrual per month

  • Actual Enrollment per month: average actual accrual per month.

  • Based on accrual risk calculation, the protocol falls into one of the 3 categories and the color of text & border is updated accordingly.

Accrual Status Table

  • Displays accrual details for individual studies

  • Expected, actual and projected accrual are displayed from start to end date

  • Columns can be sorted in ascending/descending order, resized, dragged and moved to change position

  • Export to Excel button is provided to allow user to download table as excel

Accrual Status Chart

  • No of participants enrolled vs Month, ranging from start date to end date of the individual study

  • Yellow solid line represents expected accrual per month. Target accrual should be achieved by end date

  • Blue solid line represents actual accrual per month, i.e. current accrual taking place every month to date

  • Blue dashed line represents projected accrual. Protocols that have not yet reached their target accrual and end date is in future.

Projected Accruals

  • Projected Accruals are represented with blue dashed line for studies that have not yet reached their target accrual and end date is in future.

  • This gives an estimate of the progress of accruals based on the current growth rate.

  • Projected Slope or Projected Rate of Accrual is calculated based on moving average of past k months.

  • As of now, we have calculated moving average of past 3 months.

  • Projected Slope = (actual accrual of last month - actual accrual of kth last month )/moving average length

  • Projected Accrual of current month = projected accrual of previous month + projected slope
    OR
    Projected Accrual of current month = last actual accrual + projected slope * number of months starting from 1

Alert & Warning Messages

  • For certain scenarios where extra information needs to be conveyed to the user, alerts & warning messages are displayed. This can include information regarding missing data or continue of accrual after end date.

  • This feature helps user to take required action, such as updating missing data.

  • Warning messages are displayed in yellow whereas alerts are displayed in red.

  • These messages are displayed above the chart.

  • Scenarios:

    • Warning:

      • Accrual continued after end date

    • Alert:

      • Accrual duration not available

      • Target Accrual not available

      • No Accrual data found
