FAQs - IVIP Applications for REDCap Access

What is an IVIP application, and what is it for?

The iVIP platform is a website that helps create and manage accounts for guests at USC. It also allows users external to USC to gain temporary access to USC services, and in this case, we only give people access to REDCap.

Do I need to fill out all the fields for the IVIP form?

In order for your IVIP form to be approved and processed, you must fill out all the fields that are required in the form. It is important to make sure that all the required information is provided accurately and completely before submitting the form.

If your form is missing information from any fields, it will not be processed. Please make sure to follow instructions on the form and complete each field accordingly.

Who is my IVIP sponsor at CHLA?

The IVIP form you will submit must have Dr. Tamara Simon listed as your sponsor at CHLA. This is indicated towards the bottom of the form. It is important to understand that your IVIP sponsor is not the same as your CHLA Principal Investigator.

If I am a full-time employee at CHLA, why is my IVIP account valid for a maximum of 14 months?

USC aims to ensure that users have access to the system only when it is necessary for a specific project or purpose, and their access is terminated once their need for it ends, preventing them from retaining access indefinitely.

My REDCap access is about to expire. How should I renew my access?

In the event that your REDCap account access is approaching its expiration date, and you require continued access to specific projects, you must complete and submit a new IVIP form via REDCap survey link with an appropriate justification for why you still require access to REDCap. Please ensure that you clearly indicate in your email that this is a REDCap account renewal or extension request. Note that it can take up to 1-2 weeks for IVIP forms to process before receiving an activation email.

My REDCap access has expired. How do I get it back?

If your REDCap access has expired, you should follow the same instructions as above with an appropriate justification for why you still require access to REDCap. Please ensure that you clearly indicate in your email that this is a REDCap account renewal or extension request.

I haven’t heard back about the status of my IVIP application yet. What should I do?

In the event that a period of more than two weeks has elapsed since the submission of your IVIP application form to ksomivip-l@usc.edu, and you have yet to receive an activation email, kindly consider contacting support@sc-ctsi.org for further assistance.

Logging into REDCap

How do I find my USC Net ID?

Please visit the web page http://www.usc.edu/firstlogin to retrieve your USC Computer account username (aka USC Net ID) and pick a password.

The IVIP system only updates 3 times daily. The final daily update is at 4:00 PM Pacific Time. If you are trying to activate your USC Net ID, but are receiving an error message, or your information is not recognized, you may need to wait until the following day to active your USC Net ID.

Once I have my USC Net ID, how do I log into REDCap?

  1. Navigate to https://redcap.med.usc.edu/

  2. Scroll down and click on the USC logo

  3. Once you click the logo above, you will see the following page. Enter your USC Net ID and associated password

  4. Upon first login, please enter an email address you have access to in order to verify your REDCap account creation

Note: we do have a script in place to bypass this for IVIP users whose email defaults to a USC email (ex: abc_111@usc.edu). If this happens, please try to login 5 mins after you receive the message from REDCap stating you need to verify your email address. If the error persists, please contact support at support@sc-ctsi.org.

How do I set up Duo Two-Factor Authentication?

You will be required to use Duo Two-Factor Authentication each time you log into REDCap. For more information, please refer to the USC Information Technology Services website below.

Common Login Errors

My REDCap access was successfully granted, but I am getting an error message when I try to log in. What should I do?

You are likely getting an ‘inclusion group error,' which means that your USC Net ID is not added to the REDCap inclusion group. If you get this error, please email support@sc-ctsi.org with your USC Net ID (ex., abc_123) and we will add you to the inclusion group.

REDCap is asking me to verify an email address that I don’t have access to. What do I do?

Sometimes, REDCap defaults to a USC email address with your USC Net ID (ex. abc_123@usc.edu). If this occurs and you do not have access to this email address, please email support@sc-ctsi.org and we can manually change and verify your email address.

What do I do if I forgot my password?

Please navigate to the following link to reset your password: https://netid.usc.edu/account_services/forgot_password

If you are unable to reset your password through this link, please call USC ITS at 213-740-5555 for assistance.

Using REDCap

I have REDCap access now. Where are the research projects that I am in?

To view a list of the research projects you have access to, please click on ‘My Projects’ at the top of the screen. If you do not see a particular project listed that you need access to, you will need to ask a member of that project’s study team to add you to the REDCap project.

Please note that our team does not add individual users to REDCap projects. You must ask someone on your study team to add you to the project.

Who can I contact if I need help with using REDCap?

For assistance with any questions not answered on this page, you can contact support@sc-ctsi.org. You can also attend our weekly REDCap office hours on Thursdays at 11am. Register here
